Rates — common questions

How do you measure audio minutes?
We charge based on the length of your dictation file. A 45-minute audio file = 45 audio minutes. We round to the nearest minute — no half-minute rounding up.
How does the Regular or Dedicated tier work?
No contract or direct debit. Once you're consistently sending 3+ or 6+ hours per week, we apply the reduced rate automatically. Your account will be reviewed monthly.
What if I'm on PAYG and send a lot one week?
We apply the best rate your volume earns — automatically. If you hit Regular or Dedicated thresholds, you'll be charged accordingly without needing to ask. We track it.
Is there a minimum job size?
No minimum. A 10-minute letter gets the same turnaround commitment as a 90-minute building survey. Rates apply as per the table above — no short-job surcharge, no exceptions.
When and how do I pay?
We invoice at the end of each month with a full breakdown — every report typed, audio minutes, and rate applied. Payment by bank transfer within 7 days. Prefer weekly invoicing? Just ask.
Are there any additional charges?
No. The per-minute rate covers everything — typing, formatting, quality check, and secure delivery. No setup fees, portal fees, or surcharges.
Does VAT apply?
Not currently. Should our VAT status change in future, we'll contact you in advance to ensure your effective rate remains competitive. No surprises.
How do I send you my dictation?
However works best for you. We accept files via email, Dropbox, Google Drive, and Philips SpeechLive. If your practice uses an in-house system, get in touch — we'll work with what you have.
Can you add photos to my reports?
Yes. Photo insertion and additional formatting services are available — charges vary depending on the job. Get in touch directly to discuss your requirements.
